How To Update Your User Profile in Playwise HQ

About Updating Your Profile

Your user profile in Playwise HQ contains your personal information and login credentials. Keeping your profile up to date ensures your team can identify you correctly and that your account remains secure. The profile page provides two sections: one for updating your personal details (name and email address), and one for changing your password.

Both sections are located on the Profile tab within Settings, making it easy to manage all your account information from a single page.

What You Need to Know Before Updating Your Profile

User Role Requirements

All authenticated users — Admin, Editor, and Viewer — can update their own profile. There are no role restrictions on profile or password updates. You can only edit your own profile.

Email Uniqueness

If you change your email address, the new email must not already be in use by another user on the platform. If you try to save an email that is already taken, you will see an error: “Email address is already in use”.

Password Change Behaviour

Changing your password is an important security action. When you successfully change your password:

  1. A confirmation message appears: “Password changed successfully. You will be logged out shortly.”
  2. After approximately 2 seconds, you are automatically logged out.
  3. All sessions on all devices are invalidated — anyone using your account on another device will also be logged out.
  4. You will need to sign in again with your new password.

A Step by Step Guide on How to Update Your User Profile in Playwise HQ

Follow these steps to update your personal information and manage your password.

Updating Your Personal Information

Step 1: Navigate to the Profile Tab

  1. Log in to your Playwise HQ account.
  2. Click “Settings” in the navigation.
  3. In the settings sidebar, click the “Profile” tab.
  4. You will see the Profile Information card with the description: “Update your personal information and email address.”

Step 2: Review Your Current Information

The Profile Information card displays your current details in three fields:

  • First Name — Your current first name.
  • Last Name — Your current last name.
  • Email Address — Your current email address.

Step 3: Edit Your Details

Update any of the following fields as needed:

  • First Name — Enter your first name.
  • Last Name — Enter your last name.
  • Email Address (required) — Enter your email address. Must be a valid email format and must not already be in use by another user.

Step 4: Save Your Changes

  1. Click the “Save Changes” button. This button is only enabled when you have made at least one change to your profile information.
  2. The button will show “Saving…” with a spinner while your changes are being saved.
  3. On success, a green notification will confirm: “Profile updated successfully”.
  4. Your updated information is reflected immediately throughout the platform.

Changing Your Password

Step 1: Locate the Change Password Section

  1. On the same Profile tab within Settings, scroll down below the Profile Information card.
  2. You will see the Change Password card with the description: “Update your password to keep your account secure. After changing your password, you will be logged out of all devices and need to sign in again.”

Step 2: Enter Your Current Password

  1. In the Current Password field, enter the password you currently use to sign in to your account.

Step 3: Set Your New Password

  1. In the New Password field, enter your new password. Your new password must:
    • Be at least 8 characters long
    • Contain at least one letter
    • Contain at least one number
    • Be different from your current password
  2. In the Confirm New Password field, re-enter your new password to confirm it matches.
  3. A password strength indicator appears as you type, showing a colour-coded progress bar and a checklist of requirements:
    • At least 8 characters
    • At least one uppercase letter
    • At least one lowercase letter
    • At least one number
    • At least one special character
    • Passwords match

    Each requirement shows a green indicator when met and a grey indicator when not yet satisfied.

Note: If your new password matches your current password, you will see a validation message: “New password must be different from your current password”.

Step 4: Change Your Password

  1. Click the “Change Password” button. This button is only enabled when all password requirements are met and the passwords match.
  2. On success, a green notification will confirm: “Password changed successfully. You will be logged out shortly.”
  3. After approximately 2 seconds, you will be automatically logged out and redirected to the login page.
  4. Sign in again with your new password.

Important: All existing sessions across all devices are invalidated when you change your password. If you are signed in on other devices (e.g., a phone or another computer), those sessions will also end and you will need to sign in again on each device.

Troubleshooting

“Email address is already in use”

This error means the email address you entered is already associated with another user account. Choose a different email address or verify that you entered the correct one.

“Current password is incorrect”

This error appears when the password you entered in the Current Password field does not match your actual current password. Re-enter your current password carefully, using the eye icon to toggle visibility if needed.

“Save Changes” button is disabled

The button is disabled when no changes have been detected. Make sure you have actually modified at least one field (First Name, Last Name, or Email Address) from its current value.
